Job description: An opportunity has arisen for a well organised and motivated individual to join the friendly and helpful Administration team within an NHS service in Witney.

The post holder will provide administrative support to the team in the Service and other staff as necessary and will provide support to the management team as directed. This will include day-to-day organization of systems to ensure the smooth running of the office, assessment and follow up clinics, audio typing, taking and typing minutes and other clerical duties. Additionally, the post holder will facilitate good communication and liaison with patients and their families, colleagues within the Trust and across other organizations. The post holder will also be responsible for maintaining databases by collecting and inputting of data relating to Team activity and reporting information as necessary.

Brief description of role:

Answering the telephone, taking messages and processing enquiries
To provide support with the typing of reports, letters and correspondence when required and to be responsible for the filing of patient information onto Carenotes in a timely manner
Updating Rotas
Support to the Management Team
Minute Taking
Maintaining Databases
To use Microsoft Office applications including Word, Excel and Outlook as required.
Checking that stationary supplies are adequately stocked and ordering when necessary.
Arranging appointments
Supporting clinicians with calendars and room bookings

Essential skills:

Good written and verbal / communication
Good organisational skills
Minute taking experience
IT skills including Outlook, Excel and Word
Ability to liaise with all professions and levels in a confident and effective manner
Good level of general education
English and Mathematics
grade A-C or equivalent Word processing experience
Ability to prioritise own workload
Excellent telephone skills
Good understanding of the General Data Protection Act
Minimum of 1 year working in an office / educational environment
Good communication skills with an empathetic approach
Desirable skills:

NVQ Level 2 in Admin
Desire to attend courses relating to role, as appropriate.
Experience of digital dictation systems and software
NHS experience
Desire to work in a Mental Health Setting
