Job description: An opportunity has arisen for a well organised and motivated individual to join the friendly and helpful Administration team within an NHS service in Oxford. The City & NE Oxon AMHT Admin team, deal with 8,000 calls a month in addition to a high number of electronic referrals. The predominant genre of caller is from patients who additionally may be distressed, or professionals who are limited in their time and need a resolution quickly.

IT skills are very important, but a key requirement is for high levels of emotional resilience and the ability to work under pressure whilst remaining calm. The team rely on each other for support and there is an intrinsic need for the ability to work independently but also to be able to identify when issues need to be escalated.

Job Title: Administrator
Duration: Up to 3 Months
Hours: 37.5 Hours PW
Location: Oxford

Brief description of role:

Answering the telephone, taking messages and processing enquiries
To assist with reception duties for Out Patients departments
To provide support with the typing of reports, letters and correspondence when required and to be responsible for the filing of patient information onto Carenotes in a timely manner
To use Microsoft Office applications including Word, Excel and Outlook as required.
Checking that stationary supplies are adequately stocked and ordering when necessary.
Contacting the Estates Department to carry out repairs, checking work has been undertaken to satisfaction.
Keeping notice boards tidy and up to date and adding anything of interest or importance to staff.
Managing the process of any charitable funds' donations.
Recording accidents and near misses on the Ulysses system.


Essential skills:

Good written and verbal / communication
skills
Good organisational skills
IT skills including Outlook, Excel and Word
Ability to liaise with all professions and levels in a confident and effective manner
Good level of general education
English and Mathematics
grade A-C or equivalent Word processing experience
Ability to prioritise own workload
Excellent telephone skills
Good understanding of the General Data Protection Act
Minimum of 1 year working in an office / educational environment
Good communication skills with an empathetic approach
High levels of emotional resilience
Ability to work under pressure in a calm manner

Desirable skills:

PowerPoint Skills
Pivot Tables
Formal Secretarial Training (i.e. RSA or shorthand qualification)
NVQ Level 2 in Admin or
NVQ Level 2 Social Care
Desire to attend courses relating to role, as appropriate.
Experience of digital dictation systems and software
NHS experience
Experience of working in a Social Care Setting
Desire to work in a Mental Health Setting
