Job description: Hi,

Service Care Solutions are looking for a Personal Assistant in the Guildford area to go work within a Corporate Management Team Support service.

The hours of work are Monday-Friday working 08:30-17:00 for 37 hours per week. This is a temporary contract which will run for over 8 months till April 2018.

The position is paying £15-19 per hour (Umbrella) which is equivalent to £24,000-£30,000 per annum.

Job Overview
To work as part of a team to provide an effective secretarial, administrative and personal assistant support service to the Managing Director, the Management Team, the Leader of the Council and the Executive Office.

*To provide a comprehensive range of administrative and secretarial services
*To assist the Managing Director and Management Team in responding to internal and external enquiries and stage two complaints from members of staff, councillors and local residents and businesses. This will require maintaining appropriate systems for managing contacts, liaising with relevant services and individuals. (Monitoring outstanding actions via a to do list.)
*To undertake periodic research, investigation and reporting on relevant issues of interest and concern as required by any member of the Management Team to support them in providing an effective and efficient service.
*To draft letters and emails on behalf of the Managing Director when requested.
*To attend meetings, where appropriate, with or on behalf of the Managing Director, either in support of or as a direct representative.
*To liaise with members of the Management Team in the efficient functioning of a range of day-to-day administrative matters.
*To ensure the Management Team Forward Plan reports are prepared within an appropriate time frame.
*To maintain the Council's Gifts and Hospitality record.
*To process invoices for payment.
*To assist, when required, with emergency situations particularly affecting the activities and responsibilities of the Management Team.
*To undertake any other duties that may be reasonably required by the Management Team including servicing of meeting rooms, providing refreshments, maintaining petty cash, monitoring leave requests etc.
Person Specification;
* Previous work in an administrative / secretarial capacity at a senior level
* An understanding of the principles of minute taking
