About the Role We are seeking a highly organised and professional Executive Personal Assistant to provide a comprehensive, efficient, and effective service to the Director within the Children and Young People’s Service (CYPS).
Based in the Business Support Unit, this pivotal role ensures the smooth and efficient running of the Director’s office — managing complex diaries, handling sensitive correspondence, coordinating key projects, and maintaining effective communication across the service.
You’ll be the first point of contact for the Director, representing the office with professionalism, discretion, and efficiency.

You’ll be the first point of contact for the Director, representing the office with professionalism, discretion, and efficiency.
Key Responsibilities
- Provide an efficient and effective PA service to the Director, including arranging meetings and appointments, maintaining diaries, and managing correspondence.
- Ensure the Director is well-briefed and fully prepared for meetings, with relevant background papers and information readily available.
- Monitor and progress-chase high-quality responses within deadlines for Members’ Enquiries, complaints, and Freedom of Information requests.
- Log, allocate, and track complaints, Members’ Enquiries, and FOI requests, ensuring accurate record-keeping and timely action.
- Respond proactively and professionally to enquiries from senior officers, elected Members, schools, and external partners.
- Conduct research, gather and analyse information, and highlight key issues requiring the Director’s attention.
- Co-ordinate delegated projects and initiatives, including organising meetings, preparing agendas, collating papers, and taking minutes.
- Work collaboratively with the Director’s Support Team to provide seamless support to the Directorate Management Team.
- Represent the Director in dealings with internal and external contacts, ensuring all visitors and callers are managed courteously and appropriately.
- Support the smooth running of the office by maintaining efficient information and filing systems (both manual and electronic), using Microsoft tools to enhance efficiency.
- Provide flexible cover during office hours on a rota basis (8:30am – 5:30pm) and assist the Director in the absence of the designated Executive Assistant.
- Undertake any other duties commensurate with the grade and scope of the post, as required.
- Proven experience as a Personal Assistant or Executive Assistant at senior management level.
- Excellent organisational and time management skills, with the ability to prioritise a busy and varied workload.
- Strong written and verbal communication skills, with exceptional attention to detail.
- High levels of professionalism, discretion, and integrity when handling confidential information.
- Confidence using Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and digital filing systems.
- A proactive approach to problem-solving, and the ability to work independently and collaboratively.
- Understanding of Health & Safety, Data Protection, and Equal Opportunities policies.
