The successful candidate will manage diaries, coordinate meetings, prepare briefings, and act as the first point of contact for internal and external stakeholders. You will also support high-priority projects, respond to enquiries, and maintain critical information systems, ensuring that the Director and wider management team operate effectively.
Key Responsibilities
  • Provide comprehensive PA support to the Director, including diary management, scheduling meetings, and handling correspondence.
  • Ensure the Director receives relevant briefing materials and background papers, maintaining a brought-forward file to track actions and deadlines.
  • Monitor and progress responses to enquiries, complaints, and Freedom of Information requests, ensuring timely and high-quality outcomes.
  • Log, allocate, and manage complaints, Members’ Enquiries, and FOI requests.
  • Serve as a professional first point of contact for the Director, liaising with staff, elected Members, schools, and the public.
  • Conduct research, analysis, and information gathering to support the Director in decision-making and priority setting.
  • Coordinate projects and initiatives, including organising meetings, preparing agendas, collating papers, and taking minutes.
  • Work closely with the Director's Support Team to support the Directorate Management Team and provide cover where necessary.
  • Maintain and develop office systems, including electronic and manual filing, spreadsheets, and databases, maximising the use of Microsoft Office tools.
  • Undertake any other duties within the scope of the role as requested by the Director.
The Ideal Candidate Will Have:
  • Proven experience as an Executive PA or in a senior administrative role supporting directors or senior managers.
  • Excellent organisational and time management skills, with the ability to prioritise effectively.
  • Strong communication and interpersonal skills, able to liaise confidently with a range of stakeholders.
  • Experience managing high-volume correspondence and complex diaries.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.
  • Ability to work independently, take initiative, and maintain confidentiality.
  • Flexibility to provide cover as part of the team on a rota basis (office hours 8:30am – 5:30pm).
