About the Role We are seeking a Project Support Officer to provide high-quality business and administrative support across a busy service area.
This role is essential to the smooth delivery of projects and programmes, supporting senior managers and colleagues with coordination, communication, record-keeping and financial administration. The postholder will help ensure that work is well-organised, accurately recorded and delivered in line with governance and compliance requirements.
Key Responsibilities
- Co-ordinate diaries, meetings and appointments for senior staff, ensuring effective forward planning and organisation of activity.
- Manage shared inboxes and service correspondence, monitoring, prioritising and responding to enquiries appropriately.
- Provide general business and administrative support, including preparing documents, reports, trackers and presentations.
- Maintain accurate records and documentation, ensuring information is accessible, up to date and compliant with governance and statutory requirements.
- Support financial administration activities such as raising purchase orders, processing invoices and maintaining budget information.
- Assist with procurement and commissioning activity by preparing documentation, maintaining records and monitoring budgets.
- Act as a key point of contact for internal and external stakeholders, arranging meetings and responding to queries.
- Provide administrative support for meetings, workshops and events, including agenda preparation, note-taking and circulation of papers.
- Co-ordinate office systems, filing and document control to support efficient service delivery.
- Contribute to service planning, reporting and continuous improvement by providing data and administrative support.
- Undertake training and development to build knowledge of project support, finance and governance processes.
- Carry out any other duties appropriate to the grade to support the effective functioning of the service.
- Strong organisational skills with the ability to manage diaries, meetings and competing priorities.
- Experience managing shared inboxes, correspondence and service communications.
- Good ICT skills, including Office 365 (Word, Excel, Outlook, PowerPoint and Teams).
- Ability to produce accurate notes, records and routine correspondence.
- Effective communication skills with the ability to liaise professionally with a range of stakeholders.
- Understanding of confidentiality, data protection and governance requirements.
- Ability to manage workload under supervision and meet deadlines.
- High attention to detail and accuracy.
- Minimum HNC in Business Administration, Project Management or a related subject, or equivalent relevant experience.
- Experience providing administrative or business support in a busy office environment.
- Experience of financial administration (e.g. purchase orders or invoice processing) is desirable.
- Experience of liaising with internal or external stakeholders is desirable.
