About the Role:
Sussex Police are seeking a highly organised and proactive Secretary to provide essential administrative and secretarial support to the Command Team and Senior Managers. This is a key role ensuring the smooth running of operational, organisational, and collaborative activities within a busy policing environment.
Key Responsibilities:
- Act as a central point of contact for Command Team and Senior Managers.
- Manage and prioritise email inboxes, including providing cover during absences.
- Maintain and coordinate diaries, meetings, on-call records, annual leave and appointments.
- Arrange and prepare meetings, distributing papers and ensuring senior staff are fully briefed.
- Provide accurate electronic minute-taking for internal and wider organisational meetings.
- Deliver a full range of secretarial services including word processing, audio typing and correspondence.
- Support events such as award ceremonies and team ‘away days’.
- Maintain electronic filing systems and provide general office support.
- Handle confidential information professionally and sensitively.
- Liaise with internal teams, members of the public, and external agencies.
- Arrange travel and accommodation for senior staff.
- Assist with both planned and unplanned operational support where required.
Essential skills and experience:
- Advanced Microsoft Office skills and confident IT literacy
- Strong organisational and customer service skills
- Ability to take accurate minutes
- Typing speed of 60 wpm with supporting qualification
- GCSE English Grade C or equivalent
- Experience in diary management and secretarial/office administration
- Excellent written and verbal communication skills
- Ability to work with discretion and maintain confidentiality
