Starting a new job can be overwhelming, but as an employer, you can make the transition smooth and welcoming. If you have a new starter and want to make sure that they feel welcome, here are 10 effective strategies to ensure they feel comfortable from the offset.

1. Tour of the Office

Give your new starter a guided tour of the office on their first day. Show them key areas like their workspace, meeting rooms, kitchen, restrooms, and any recreational areas. This helps them get familiar with the environment, reducing any initial awkwardness.

2. Announce on Company Social Media

Make your new employee feel valued by introducing them on your company's social media pages or internal communication channels. A warm welcome post with a short bio and their role can help break the ice and encourage team members to reach out.

It will also encourage existing employees to introduce themselves if they know their name, department and also where they will be seated.

3. Allow a Shorter First Day

The first day usually means absorbing a lot of information, which can be exhausting. Consider allowing a shorter workday so your new employee can absorb information without feeling overwhelmed. This also gives them a chance to reflect and prepare for the days ahead.

4. Detailed Welcome Pack

Provide a welcome pack that includes essential company information, policies, team structures, and a guide to workplace culture. A well-thought-out welcome pack sets clear expectations and help them integrate faster into their role.

5. Plan Seating Arrangements

Ensure your new starter is seated near colleagues who can offer guidance and support. Sitting them next to an experienced employee or mentor makes it easier for them to ask questions and feel part of the team.

This helps to avoid the initial panic of walking into the office, especially if they are being guided by a mentor.

6. Introduce Them to Team/Staff

A formal introduction to the team is crucial. Arrange a quick meet-and-greet session where existing employees can introduce themselves and share their roles. This fosters connections and can encourage collaborations faster and easier.

Prioritise introducing them to the team members they may be working closely with or encounter a lot, this will help to settle the nerves ahead of their first piece of collaborative work.

7. Personalised Onboarding Materials

Tailor onboarding materials to the specific role of the new starter. Whether it’s training videos, checklists, or a detailed roadmap, personalised onboarding ensures they receive relevant and useful information to succeed in their position.

Address them by name in their documents, emails and training, this will make them feel valued from the start.

8. Fun Group Lunch

Organising a team lunch on the first day (or week) can help ease nerves and create a relaxed environment for social interactions. A casual setting outside of the office allows for an ice-breaker and for your new employee to bond with colleagues naturally.

9. HR Check-In

Schedule a one-on-one check-in with HR after the first few days or weeks. This allows your new starter to share their experience, ask questions, and provide feedback on the onboarding process. It also reassures them that their well-being is a priority.

10. Health and Safety Training

Safety should always be a priority. Ensure your new employee undergoes thorough health and safety training, covering emergency procedures, workplace hazards, and compliance policies. This not only meets legal requirements but also ensures their well-being at work.
