Job Purpose
 
We are recruiting an experienced Executive Assistant to provide proactive and confidential support to a Chief Officer and wider Executive Team within a large, complex organisation.
This is a senior-level support role requiring excellent judgement, organisation and discretion. You will manage executive priorities, coordinate meetings and governance processes, and ensure actions, projects and deadlines are effectively tracked and progressed.
 
Key Responsibilities:
 
  • Managing complex diaries, inboxes, communications and executive priorities.
  • Preparing professional correspondence, reports, presentations and briefing materials.
  • Coordinating senior-level meetings, events and travel arrangements.
  • Producing agendas, circulating papers and monitoring actions arising from executive and directorate meetings.
  • Maintaining oversight of key commitments, risks, objectives and deadlines.
  • Managing executive actions and projects, escalating issues where necessary.
  • Developing effective records, trackers, workflows and document-control processes.
  • Supporting financial administration and the effective use of Microsoft 365 systems.
  • Acting as a key point of contact for colleagues, customers, partners and external stakeholders.
  • Handling confidential and sensitive matters with diplomacy and discretion.
  • Identifying improvements to executive support processes and ways of working.
  • Providing flexible cover and support across the wider Executive Support team.
Candidate Profile
  • Substantial experience as an Executive Assistant, Personal Assistant, Executive Support Lead or in a comparable senior support role.
  • Experience supporting senior leaders within a large or complex organisation.
  • Excellent organisational, planning and time-management skills.
  • The ability to manage competing priorities and changing demands in a fast-paced environment.
  • Strong written communication skills, with experience preparing reports, briefings, correspondence and presentations.
  • Confidence using Microsoft 365, including Outlook, Teams, SharePoint, PowerPoint and Excel.
  • Strong stakeholder-management skills and the ability to build trusted professional relationships.
  • A proactive, solutions-focused approach with excellent judgement.
  • High levels of discretion, confidentiality and emotional intelligence.
  • Excellent attention to detail and a commitment to producing high-quality work.
