Trades Scheduler Responsibilities
As a Trades Scheduler, you will play a vital role in ensuring maintenance works are efficiently scheduled and completed within specified timeframes. Your key responsibilities include:
- Scheduling and managing trade operatives’ diaries to ensure timely attendance of appointments
- Communicating effectively with customers and operatives to arrange, confirm, or reschedule appointments as needed
- Monitoring outstanding jobs proactively to prevent overdue repairs and prioritising emergency or urgent works
- Allocating work to the most appropriate trade operative to maximise first-time fix rates
- Ensuring operatives have the necessary materials and information to complete their tasks efficiently
- Planning appointments to minimise travel time and maximise productivity
- Working closely with supervisors, managers, and operational teams to meet performance and service standards
- Monitoring job completion quality and punctuality, escalating any performance issues when necessary
- Maintaining accurate records and updating the contract management system promptly
- Processing subcontractor completion reports and scheduling future appointments
Candidate Requirements
To be successful as a Trades Scheduler, you should possess:
- Previous experience in scheduling, planning, workforce coordination, or repairs administration
- Experience within social housing, property maintenance, facilities management, or similar environments is highly desirable
- Strong organisational skills with the ability to prioritise multiple tasks
- Excellent customer service and communication skills
- Attention to detail and proficiency in accurate data entry
- Competence in Microsoft Office applications, including Word and Excel
- Ability to work independently, as well as collaboratively in a team
- Adaptability to fast-paced environments and meeting strict performance targets
