Role Overview:We are seeking a dedicated Document Controller to join our dynamic Commercial team, providing essential support in managing documents and data related to commercial activities and dispute matters. This role is vital for ensuring the successful delivery of all administrative aspects and supporting dispute matters from inception to completion.
Key Responsibilities:

  • Act as the central point for the Dispute team in document and data management.
  • Support the discovery and management of electronic files, emails, and hard copy records in connection with construction disputes and litigations.
  • Assist in the review, compilation, and issuance of documents for disclosure submissions in litigations and other dispute resolution processes.
  • Manage the Electronic Document Management System (Viewpoint), ensuring it is up-to-date, especially in connection with construction dispute and legal matters.
  • Scan, upload, and manage documents, emails, and files on secure data platforms.
  • Ensure document quality audits are conducted before uploading, and manage the rejection process if documents do not meet standards.
  • Monitor and process payments through the ERP system for consultants, experts, and legal advisers.
  • Maintain a database of key contacts, including consultants, experts, specialists, and legal advisers.
  • Support the team's information management on server and cloud platforms.
  • Assist in the signing and sealing process for document approvals by senior management.
  • Perform administrative duties and identify new solutions to improve processes.

Essential Criteria:

  • Strong communication skills at all levels, with confidence in responding to queries and questions.
  • Experience with Document Management Systems and proficiency in IT (Word, PowerPoint, Excel), including databases and spreadsheets.
  • Ability to work independently, develop administrative systems, and maintain accuracy.
  • Strong diplomacy skills and the ability to maintain confidentiality.
  • Experience in setting up and maintaining document management systems and being the central point of contact within a team.
  • Ability to prioritize workload and work efficiently with minimal supervision.
  • Willingness to travel occasionally for work-related purposes.

Desirable Criteria:

  • Experience with technical drawings and documents used in construction.
  • Knowledge of terminology and practices within the development and construction environment.
  • Understanding of the residential development arena and its operating environment.
