Overall Purpose of the Role:
The Facilities Assistant plays a vital role in contributing to the maintenance and upkeep of buildings, equipment, and fleet within a specified area. This includes aspects of Health & Safety (H&S) and providing an 'on-call' service as per roster assignments.
Key Accountability Areas:

  1. Conduct and record legislative checks using a Computer-Aided Facilities Management (CAFM) system, ensuring compliance with fire regulations, Legionella checks, emergency light tests, and other related tasks.
  2. Perform minor maintenance according to skill level and protocols; coordinate complex maintenance works with contractors.
  3. Maintain detailed knowledge of buildings within the area of responsibility and 'on-call' area.
  4. Liaise with external contractors to ensure legal compliance and H&S standards; manage contractor access and communication.
  5. Update Traka management system for vehicle and equipment access; manage vehicle bookings and maintenance checks.
  6. Undertake driving duties including vehicle collection/delivery, evidence transportation, and waste collections.
  7. Assist with site-specific tasks such as deliveries, snow clearance, and organizing temporary vehicle access arrangements.
  8. Support minor office changes/moves and provide assistance with meeting rooms and training facilities.
  9. Implement local procedures for single accommodation, ensuring compliance with H&S and legislative requirements.


Dimensions:

  • Responsible for 7 to 9 operational police facilities, Neighbourhood policing bases, and single accommodation premises.
  • Required to cover approximately half a county when on call, making decisions independently.
  • Directly responsible for arranging vehicle servicing, bicycle safety checks, and H&S legal checks and processes.


Characteristics of the Role:

  • Essential: Good standard of education, team-working experience, ability to prioritize and work unsupervised, decision-making skills under pressure, IT literacy, recent experience in fleet/buildings management, and a full UK driving license.
  • Desirable: Ability to use Airwave communication equipment, knowledge of Health and Safety Legislation.


Additional Information:

  • Candidates must be willing to undertake Basic Driving Assessment and on-call work on a rota basis.
